| DUTIES | Maintain strict confidentiality regarding all information obtained in the course of performing official duties, including correspondence, documents, schedules, meetings, negotiations, personal data, internal decisions, and any other confidential School information. Manage and coordinate the General Director’s document workflow, including the registration, distribution, filing, storage, and monitoring of the signing process for official letters, orders, internal documents, and other documentation. Track and monitor assignments issued by the General Director, follow up on deadlines, provide timely reminders to responsible parties, and keep the General Director informed of the status of implementation. Organise and prepare meetings for the General Director, including scheduling, inviting participants, preparing meeting rooms, materials and agendas, and subsequently distributing relevant documentation to attendees. Take concise meeting notes when required, record key decisions and action points, and monitor their implementation. Provide administrative and organisational support in the General Director’s interactions with the Board of Directors, Governors’ Board, shareholders, external partners, consultants, and government representatives. Coordinate protocol and logistical arrangements for School visitors, including reception, registration, logistics, preparation of meeting facilities, itinerary coordination, and liaison with relevant School staff. Manage the General Director’s calendar effectively, including prioritising appointments, providing timely reminders of upcoming engagements, communicating schedule changes, and ensuring all necessary preparations are completed. Arrange business trips for the General Director, including booking flights and accommodation, preparing itineraries, organising transportation, coordinating visa and supporting documentation, and collecting all relevant travel records. Provide administrative support for business-related expenses within the scope of responsibilities, including collecting invoices, acceptance certificates, and supporting documents, and ensuring their timely submission to the Finance Department. Book airline tickets and coordinate corporate travel for staff, Governors, and visitors as required. Prepare schedules and itineraries for Governors and visitors. Coordinate the General Director’s schedule, correspondence, translations, meetings, and visits. Organize catering for school events as requested. Liaise effectively with postal and courier service providers. Efficiently coordinate incoming telephone enquiries, correspondence, requests, and other communications addressed to the General Director, ensuring timely transmission of information, recording of instructions, and monitoring of follow-up actions. To arrange and coordinate transport or taxi for visitors, new staff on induction time, Guests, Governors, current staff as required. Coordinate Chair of Governors work schedule. Organizing and coordinating corporate cellular communications for school employees. Arrange catering for admin staff during school holidays. Support the aims and ethos of the school. Be proactive in professional matters. Be aware of child protection and safety procedures. Establish effective working relationships with professional colleagues. Be well organised, proactive and manage time effectively. |
